Cancellation Policy

Appointment Cancellation

If you need to cancel an appointment, please do so at least 24 hours before your scheduled appointment time. This advanced notice will allow other clients access to that appointment time through the online calendar. If your cancellation notice is given at least 24 hours before your scheduled appointment time, your on-file credit card will not be charged. 

How to Cancel Your Appointment

If you need to cancel your appointment, please use the link provided during booking. This is a small business practice without a receptionist and Rachel’s phone is on silent most of the day. Please do not contact her directly to cancel your appointment. 

Late Cancellations

A cancellation is considered late when the appointment is canceled less than 24 hours before the appointed time and will result in a 50% cancellation fee.

No-show / No-call / Day-of Cancellation

If you fail to arrive at your appointment time and gave no cancellation notice, your on-file credit card will be charged for 100% of the cost of your treatment session.

Late Arrivals

Please arrive 10-15 minutes early to your appointment, as this will allow for a careful and thorough intake conversation and collaborative approach to your session goals. 

Please also understand that if you are ‘on time’ or late for your service, your therapist can only give you whatever time remains of the appointment after the intake conversation is completed, and you will still be responsible for the full appointment fee.

Intake Forms

Rachel prides herself in delivering an individualized approach to each client. Please complete the online intake form at least 24 hours before your scheduled appointment time, as this will allow her ample time to organize, plan, and tailor your session specifically to you.

Disclosure of medical conditions, medications, and health related symptoms is imperative to assure massage or bodywork is advisable. Approval from your doctor will be required when in doubt. All client information is confidential.


Young Athlete Massage for Minors 

I’m excited to offer a therapeutic massage tailored specifically to young athletes age 13-17 years. 

As a former K-12 teacher, rest assured that I am well versed in varying communication styles, approaches, and temperaments of minors!

And as a mother, I understand the trust you’re placing in me by allowing me to be a part of your child’s health care team. Your child’s safety and level of comfort are taken seriously and will remain my top priority.

Any client 13-17 years of age must have a parent’s or legal guardian’s written consent, and I encourage your presence during the initial session, so please plan accordingly. Subsequent session participation is on a case-to-case basis and will be approached as a team decision by the minor, parent, and therapist. 

Minors may remain clothed during the entire massage, or undress to the level of his or her comfort.


Inappropriate Behavior

Willow Massage & Bodywork has the right to end your treatment session due to any inappropriate behavior, solicitation, hate speech, discrimination, general indecency, or any other behavior deemed as unacceptable.

Regardless of when your session has ended, you will be charged the full session fee plus 20% gratuity, and your future scheduling rights will be forfeited.

It is understood that the purpose of this massage is solely therapeutic in nature, and authorities will be contacted if behavior has been deemed aggressive or unsafe.
